Product Details

InSight Automated Records Management System is a flexible, off-the-shelf solution for managing records, library materials, and assets. It may be installed in single or multi-user configurations for small, medium, and large organizations. Microsoft Access, Microsoft SQL Server and Oracle databases are supported.

Core Features

Managing the records life cycle is one of the most challenging aspects of records management. InSight's retention and destruction management features are dynamic and efficient. Records are compared against policies during the destruction process. Policies may include conditions that records must meet to qualify for destruction (e.g., whether a contract is closed or an audit is complete). Destruction may be deferred for individual records or all records associated with a class.

Supports automated records circulation

Users may initiate requests to add records, transfer records to other locations, inter file materials, and receive records, assistance, or supplies. An acknowledgment indicates that a service provider inter filed material or sent a record, assistance, or supplies. Or, it may indicate that information is needed to satisfy a request.

Promotes data integrity

An organization may define required fields, required and optional and valid or incremental field values. Descriptions, examples, standard terms, abbreviations, and data dictionaries are supported. Help documents can be customized by you to encourage enterprise wide use.

Provides administration capabilities

A records administrator may customize field names and data standards for various record types. They can define user roles and manage access to records. Report management, archive destruction policy and cataloging metadata are supported. Storage Vendor integration, portable bar code readers, and RetentionManagerTM integration can be processed by the records administrator.

Additional Features

InSight EveryWhere Records Management Browser

InSight EveryWhere allows users to manage records via the web. It is easy to deploy and includes many of the features available in InSight. Users perform simple and complex searches, add records, submit and fill requests, and create custom reports. In conjunction with the Electronic Documents module, users may view and link documents to records and search contents and properties of documents. In conjunction with the External Database Integration module, users may view information in linked databases.

InSightTM Email and Document Extension

In conjunction with the optional Electronic Documents module, InSight Extension provides a fast and easy way to classify and file objects while in other software applications. InSight Extension is accessed from the File menu in Microsoft applications (e.g., Outlook, Word, Excel, PowerPoint) and as a menu bar icon in Lotus Notes. Filed objects are managed in compliance with the templates and retention rules stored in InSight's databases. Users save time when they file from within applications where they spend the most time.

Electronic Documents

Electronic Documents module enables users to add electronic files to a collection. InSight can integrate with scanning devices to improve work-flow. InSight's open system architecture provides maximum flexibility for designing and configuring electronic document management.

External Database Integration

External Database Integration module enables access to external data and applications from InSight. This allows line-of-business databases to be integrated with the records management database. Forms may be designed to open other applications or view information in external databases. Read-only privileges may be invoked to prohibit users from changing external database information.

Portable Barcode Reader

Portable Barcode Reader streamlines InSight transactions. Data is collected with portable readers and is processed into InSight in batches. File Check Out, File Check In, Box File, and Inventory modules are available for facilities that store items. Box Check Out, Box Check In, Shelve Box, and Move Box modules are available for facilities that store containers.

Color Code Report

Color Code Report creates data files used to produce single-strip color coded file folder labels. InSight's Color Code report is compatible with Color Coding software programs including Smead's ColorBar Gold, GBS Filing Solutions NetLabels, and Tab Products TabQuik.

Space Management

InSight's core product has features to quantify collection holdings, evaluate capacity, and automate other tasks related to managing records in containers. Additional features help manage the use of space in records storage facilities. The optional module supports multiple buildings, sites, floors, and areas with varied equipment configurations and container types.

InterLink Utility Library

InterLink Utility Library modules extend InSight's database model and provide a gateway to integrate other applications and customize work flow processes. It includes a Service Billing module to enable records management service providers to specify services and billing rates and generate charge back reports or invoices. Services may be captured from the Activity Audit Trail and custom billing data may be entered (e.g., microfilm services, research, supplies, etc.).

The InterLink Utility Library also includes a Volume Processing module. The module supports using bar codes to identify groups of records for update. It enables people to specify common values for one or several fields and perform a batch update on the identified records. Direct connect bar code scanners or keyboard input of the identity data are supported by the module.

Storage Vendor Integration

Storage Vendor Integration module enables digital transmission of information between InSight and an organization's storage vendor. This bi-directional transmission also updates InSight's location and activity audit trails. Iron Mountain has certified the module.

RetentionManager Integration

RetentionManager Integration module enables users to adopt and update retention policies. RetentionManager is an extensive legal retention research database that is a product of Information Requirements Clearinghouse in accordance with federal, state, and international regulations.
